Village Plan minutes 14 July 2014

Minutes of meeting held on Monday 14th July 2014 at 7:30pm at Trunkwell House.

The minutes of the meeting on 9th April were agreed.
Neighbourhood Watch: Peter confirmed that the village-wide scheme was now up and running with Peter and Laura as coordinators. Peter agreed to request more Neighbourhood Watch signs for the village.
Take Pride in Your Village Day. Hannah told the committee that reflective jackets and litter-picking equipment had been ordered for the weekend of 30th/31st August. Unfortunately the Memorial Hall is already booked for at least part of both days. It was agreed that provided the Allotments Trust had no objection that refreshments should be provided on the village green. David confirmed that the Parish Council would be discussing the issue of insurance and purchase of paint/cleaning materials at tomorrow’s Parish Council meeting. Tasks identified for action include – litter picking, grass-cutting around village gates and painting of gates (Bob to organize), cleaning phone box,  refreshing the notice boards. Refreshments are be available on the village green
Beech Hill Show, organized by Bob Walton, is to be renamed ‘Beech Hill Festival’ and is to include music from local musicians. Bob confirmed that it will take place over the weekend of 6th/7th September.
Heartstart Course and Defibrillator. David confirmed that posters and leaflets had been produced for a Heartstart Course in the Memorial Hall on 28th October, and will be posted on noticeboards from August onwards. David also announced that Swallowfield Responders are currently raising funds to donate defibrillators to the surrounding villages, including Beech Hill.
Welcome Pack – Hannah agreed to approach Whiteknights Estate Agents about sponsoring the welcome pack. She would aim to have something ready in time for the Beech Hill Festival.
Village Plan Document. Bob showed the committee the ten bound copies of the plan which he had had printed. He distributed copies to various members of the committee to pass on to the Parish Council, West Berkshire Council, Community Council for Berkshire,  the Allotments Trust, the Parochial Church Council and the Steering Committee; and four copies were retained by the Secretary to cover future requirements.

Responsibility for carrying out plan actions – this was deferred to another meeting
Report on ‘Project Planning meeting which David and peter attended recently. Peter was asked to circulate the slides from the meeting when available.
Proposed meeting with Mortimer Village Partnership. It was agreed that we should invite Danusia Morsley , chairman of Mortimer Village Partnership to the next meeting to talk about her experience of setting up a village action group.
Election of Treasurer. It was agreed that as we did not have a bank account then a treasurer was not required at present. The post is therefore to be left vacant.
Consitution. It was agreed to adopt the constitution as presented to the previous meeting. Bob was confirmed as Chairman, and Peter as Secretary.
Dates of future meetings. The next meeting will be on Tuesday 26th August 2014 at 7:30pm at Trunkwell House.
